Add someone without selling them a membership

Two people play at your club and have signed waivers. You want them in your system. Until now, you could not put anyone in without also selling them a membership.

The problem this solves

The only Add button on your Members page required you to pick a tier, so adding a person meant charging them for a plan they did not want. The only other way to get somebody into your system was to register them for an event or a court booking first, which meant you could add a non-member, but only by simultaneously adding them to something. If they had simply walked in and signed a waiver, there was nowhere to put them.

How it works now

Go to Members, click Non-members, and click Add non-member. Type a first name and an email, and they are on your list.

  • No tier, no charge, no payment step
  • If that email already belongs to a Picklebeast account, we add that person rather than creating a second copy of them
  • That also ends the dead end where staff were told an account already exists, with nothing they could do about it
  • Their name shows as it is on their own account, so you are never guessing whether you found the right person

Nothing is emailed unless you ask

Two optional tick boxes, both off to start with. One emails them any documents your club needs signed. The other sends a welcome with sign-in details.

  • Leave both unticked and nobody hears from us, which is the normal case when you are just recording who plays here
  • A person who already has a Picklebeast account is never sent sign-in details, so nobody's existing login is disturbed because a staffer typed their address
  • If your club requires nothing to be signed, we tell you that instead of sending an empty email, and the person is still added

They behave like any other non-member

Once added they are not a second-class record. They appear in your Non-members list with an Added by staff tag next to the people who got there by booking a court or signing a waiver.

  • Open their profile, fix a typo in their name, add store credit, take a payment, send their documents
  • Sell them a real membership whenever they are ready, with nothing in the way
  • Remove them from your list if they were added by mistake

It stays honest about your numbers

Adding a non-member does not count as a new member in your financial reporting, because they have not joined. Your new-member figures keep meaning what they meant before.

Who can use it

It needs the same permission as adding a member, so a staffer who cannot add members cannot add non-members either. It is a club setting you turn on when you are ready, and it changes nothing until you do.
